Privacy
How Howick-Pakuranga Chess Club handles personal information on this website.
What this website collects
The club’s own forms collect only what we need to run memberships and tournaments:
- Membership form — legal name (and preferred name, if different), date of birth, gender, email, phone and home address, which the New Zealand Chess Federation needs to register players; NZCF and FIDE numbers, school and parent or guardian name if you give them; and how and when you paid.
- Tournament registration — name, email, date of birth and gender, and optionally phone, NZCF and FIDE numbers, school and a note to the organisers. The tournament arbiters receive the name, date of birth, gender and rating numbers so they enter the right player for rating.
- Absence notices — name, email and the dates you will miss.
These records are stored securely in the club’s own system (hosted on Amazon Web Services in Australia) and are seen only by the committee members who run memberships and tournaments. We use them to manage your membership, prepare tournament draws and contact you about club matters — never for marketing, and we do not sell or share them. If the club enables website analytics, they record anonymous usage (pages visited, device type) to help us improve the site.
Under the Privacy Act 2020 you can ask to see the information we hold about you or your child, and ask us to correct it — email us using the contact below.
Services we use
Some tasks happen on other services, each with its own privacy policy:
- Online payments through Stripe’s secure checkout — this website never sees your card details.
- Draws and standings on VegaResults, and the Junior Hour Ladder on the club’s Chess Club Manager.
- Maps from Google, loaded only when you choose to show them.
Results, names and photos
Like most chess clubs, we publish tournament results, winners’ names and photos from club events and prize-givings, including of junior members. If you would like a name or photo of you or your child changed or removed, email us and we will act on it promptly.
